An invoice issued at the visit travels to KSeF — Poland's national e-invoicing system — on its own, and wholesaler invoices come back from there straight onto your stock.
Mandatory e-invoicing usually ends with the clinic running two systems at once: treating patients in one, issuing invoices in the other — and someone retyping between them every month. In VetiCloud the invoice is created where the sale happened: at the visit or at the receipt. Once issued it goes to KSeF by itself, in the FA(3) schema, authorised with your clinic's own certificate. The status sits on the document, together with the official receipt confirmation (UPO) and the XML pulled back from the system.
The other direction often matters more: purchase invoices issued to the clinic's tax number are fetched from KSeF every hour, with no asking the wholesaler for a PDF. With the inventory module switched on, such an invoice goes onto stock — a wizard matches its lines to your products (by GTIN or by hand, with a units-per-pack converter), remembers the mapping for that supplier, and creates the order and the delivery receipt with batches and expiry dates.
Once issued, the document joins the queue and is sent automatically; every quarter of an hour the system retries what is pending and asks for the status. The document shows whether it was accepted or rejected — and why. You can also send it by hand with one button.
We authenticate with the KSeF certificate you upload (.p12 or .pfx), stored encrypted. Before switching to production you can verify everything on the test environment — there is a “test connection” button.
The official confirmation (UPO) and the XML that was sent are downloadable from the invoice, and the PDF of an accepted document carries its KSeF number and a verification QR code.
A correction goes out with the KSeF number of the invoice it corrects. Until the original has been accepted the system will not send the correction — in KSeF it would have nothing to refer to.
A pet owner usually has no tax number, so such an invoice is sent with that fact marked. If your accountant prefers otherwise, consumer invoices can be excluded from sending with one switch.
