How much did the clinic make last month? Most owners answer from memory, or wait for the accountant to get back to them. The clinical software says how many patients came in. The bank statement says what is left. Closing the gap between the two takes a spreadsheet, if anyone gets round to it.

Revenue is recognised on an accrual basis — a service performed on a given day is that day's revenue, whatever the payment terms. Costs gather themselves: wages from payroll, consumption and losses from the inventory, online-payment commissions and the system fee. On top of that the costs from outside the system, added by hand: fixed monthly and one-off. The headline shows revenue, cost, result and margin; below it, a twelve-month trend.

You do not have to wait for payroll to be run: amounts derived from employment terms are marked as an estimate. Once payroll is finalised the days are scaled to it, so their sum matches the payroll run to the last unit.

Daily consumption is computed from visit lines over the last thirty days, and from it the number of days of stock left — with lists of what runs out within 7, 14 and 30 days, and separately the batches expiring in the same window. The order to the supplier is placed from the same screen, and selling prices are recalculated from the real purchase cost and your margin.

The figures are deliberately not merged into one: an average across five clinics would hide the one where waiting time or the no-show rate is creeping up. Yes — rent, utilities, insurance, marketing, equipment or taxes are added as fixed costs (monthly, with a validity period) or variable ones (one-off, with a date). The validity period is what makes a lease easy: you enter the instalment once, with a start and end date, and the system adds it to every month in that range and stops on its own when the contract ends — nothing to remember, nothing to clean up a year later.
