Terms of Use of the VetiCloud Mobile App for Pet Owners

In force from 16.09.2026 to 26.10.2026 Previous versions

§ 1. General provisions

  1. These terms of use (hereinafter: the “Terms”) set out the rules for using the VetiCloud mobile application for pet owners (hereinafter: the “Application”), made available in the App Store and Google Play stores.
  2. The provider and the entity making the Application available is Wozniak Solutions sp. z o.o. with its registered office in Warsaw (02-703), ul. Bukowińska 24c/7, NIP: 5542939466, REGON: 364773467, entered in the register of entrepreneurs of the National Court Register (rejestr przedsiębiorców Krajowego Rejestru Sądowego) under KRS number 0000624966, share capital 150 000,00 zł (hereinafter: the “Provider”).
  3. Contact with the Provider: e-mail kontakt (at) veticloud.com, telephone +48 222 992 995 (Monday–Friday 10:00–20:00, Saturday 10:00–16:00), by post at the address of its registered office.
  4. These Terms constitute the terms of service referred to in Article 8 of the Act of 18 July 2002 on providing services by electronic means (ustawa o świadczeniu usług drogą elektroniczną).
  5. The Application is intended for adult natural persons who are clients of veterinary practices using the VetiCloud system, including consumers.
  6. The rules for the processing of personal data are described in the Privacy Policy, available in the Application and at https://veticloud.com.

§ 2. Definitions

  1. Pet Owner — a natural person using the Application who is the owner or keeper of an animal under the care of a Practice.
  2. Practice — a veterinary clinic, surgery, hospital or practice using the VetiCloud system.
  3. System — the VetiCloud software in which Practices keep records and handle visits.
  4. Account — the Pet Owner’s individual account in the Application.
  5. Record — a single record of an animal kept in the System, accessible to the Pet Owner and to the Practices treating the animal or those to which the Pet Owner has granted access (§ 6).
  6. Patient — an animal whose Record is made available to the Pet Owner in the Application.

§ 3. Nature of the Application

  1. The Application is of an informational and organisational nature: it presents the data kept by Practices in the System, facilitates contact with the Practice and the handling of visits, and allows you to keep your own notes about your animals.
  2. The Provider does not provide veterinary services and does not give advice concerning animal health. The contract for the provision of veterinary services is concluded exclusively between the Pet Owner and the Practice.
  3. The content presented in the Application — descriptions of visits, recommendations, reminders, educational materials — does not replace a visit to or a consultation with a veterinarian. If the animal’s health deteriorates or in an emergency, a veterinary practice must be contacted without delay.
  4. The Practice that made them is responsible for the content of the records, recommendations and information entered into the System.
  5. Content generated by artificial intelligence features (e.g. a summary of treatment history) is marked in the Application as automatically generated, is of an auxiliary nature only, may contain errors and does not constitute veterinary advice.

§ 4. Technical requirements and system permissions

  1. Using the Application requires a mobile device running iOS or Android in the version indicated on the Application’s page in the store, and internet access.
  2. Some features require system permissions: notifications (reminders and messages from the Practice), camera and gallery (adding photographs of animals and documents), location (searching for practices nearby — used only at the moment of searching and not stored). Permissions may be withdrawn at any time in the device settings; their absence limits only the feature concerned.
  3. The Provider recommends using the current version of the Application; older versions may not work correctly.

§ 5. Account

  1. Using the features of the Application requires an Account. An Account can be created with an e-mail address and a password or by signing in with an Apple or Google account; in the latter case the account provider passes the Provider the e-mail address and the user name.
  2. An Account gains access to a Patient’s Record after it has been linked to the record kept by the Practice — as a result of an invitation sent by the Practice or of a linking request sent from the Application and confirmed by the Practice. Until the link is established, the Application provides the features that do not require a Record.
  3. The data provided when creating the Account should be true and up to date. The Account is personal; the Pet Owner does not disclose login credentials to third parties.
  4. The contract for the use of the Application is concluded for an indefinite period upon the creation of the Account and acceptance of these Terms. Use of the Application is free of charge.
  5. The Pet Owner may at any time, without stating a reason, terminate the contract by deleting the Account — in the Application (Profile → Delete account) or by sending a request to kontakt (at) veticloud.com. Deletion of the Account covers the Account data, settings, device tokens, medication schedules, sharing records and self-added animals and photographs. It does not result in the deletion of the veterinary medical records kept by the Practice, which the Practice is required by law to store.
  6. A consumer has the right to withdraw from the contract within 14 days of its conclusion without stating a reason — by a statement sent to kontakt (at) veticloud.com or by deleting the Account. As the Application is free of charge, withdrawal does not involve any settlements.

§ 6. The Record and sharing

  1. The System keeps a single Record for an animal. The entries in the Record (visits, diagnoses, treatment, vaccinations, test results) are made by Practices; every entry is marked with the Practice that made it, and that Practice is the controller of the data in that entry.
  2. An entry made by a Practice is at the same time made available to the Pet Owner in the Application. Shared entries remain visible in the Account even if the Practice stops using the System.
  3. Another Practice gains access to the Record solely at the Pet Owner’s will — through the sharing feature in the Application or by registering the animal with that Practice. The Pet Owner may withdraw the sharing in the Application; the Practice then retains only its own entries, which it is required by law to store.
  4. The Pet Owner may share the Record with another keeper of the same animal solely through the sharing feature in the Application. The Pet Owner is responsible for the consequences of sharing with a person they have indicated themselves.
  5. Animals and photographs added by the Pet Owner themselves in the Application, outside the Practice’s Record, are maintained by the Provider solely for the Pet Owner and do not constitute veterinary medical records.

§ 7. Scope of features

  1. The Application provides in particular: the Record together with treatment history, viewing and booking of visits, pre-visit questionnaires and instructions, post-visit recommendations, reminders (about visits, vaccinations, preventive care and medications), a medication log, push notifications, chat with the Practice’s reception, access to documents and test results, payment for visits (if the Practice has made it available) and sharing of the Record.
  2. The scope of available features depends on which of them the Practice has enabled — not all of them need be available at every Practice.
  3. The fact that the Application is free of charge does not extend to the veterinary services provided by the Practice or to the telecommunications operator’s charges for data transmission.
  4. The Provider may develop, change and withdraw features of the Application; material changes that limit the scope of features are announced in the Application at least 14 days in advance.

§ 8. Notifications and communication

  1. Push notifications are sent only after consent has been given in the device’s system; consent may be withdrawn in the device or Application settings, separately for each category.
  2. Notifications concern exclusively the handling of visits and the care of the animal: confirmations and reminders of visits, reminders about vaccinations, preventive care and medications, messages from the Practice and material changes in the Application. The Provider does not send commercial information through the Application, by e-mail or by SMS.
  3. Reminders are of an auxiliary nature — the Provider does not guarantee their delivery and they do not release the Pet Owner from taking care of the deadlines involved in caring for the animal.

§ 9. Rules of use

  1. It is prohibited to use the Application in a manner contrary to the law or these Terms, in particular: impersonating other persons, attempting to gain access to other people’s data, interfering with the operation of the Application or the System, retrieving data automatically and transmitting unlawful content.
  2. In the event of a material breach of these Terms, the Provider may block the Account, informing the Pet Owner of the reason and of the possibility of submitting a complaint under the rules of § 12.

§ 10. Payments

  1. If the Practice has made payment for visits or prepayments available in the Application, payments are handled by an external payment operator, indicated in the Application before the payment is confirmed, in accordance with its own terms. The Provider does not receive payment card details.
  2. The Provider is not a party to the contract for the provision of veterinary services and is not a seller of the Practice’s services. A payment in the Application is a payment to the Practice.
  3. Complaints concerning a veterinary service, its price and refunds of prepayments should be addressed to the Practice.

§ 11. Personal data

  1. The controller of the data connected with the Account — the e-mail address, account identifier, settings, device token for notifications, medication schedules, sharing records, self-added animals and photographs, and the evidence of acceptance of these Terms — is the Provider.
  2. The controller of the entries in the Record is the Practice that made them. The Provider processes them on its instructions and makes them available to the Pet Owner on the basis of the contract concluded with the Pet Owner.
  3. Detailed information about the purposes, recipients (including the Google Firebase services on which the Account runs), transfers of data outside the European Economic Area, retention periods and the rights available is set out in the Privacy Policy.

§ 12. Complaints and disputes

  1. Complaints concerning the operation of the Application may be submitted to the e-mail address kontakt (at) veticloud.com. A complaint should contain a description of the problem and, where possible, the version of the Application and the device model.
  2. The Provider examines a complaint within 14 days of receiving it and informs the complainant of the outcome at the address from which it was sent.
  3. Complaints concerning veterinary services and the content of the records should be addressed to the Practice.
  4. A Pet Owner who is a consumer may use out-of-court methods of handling complaints and pursuing claims, in particular: proceedings before the provincial inspector of the Trade Inspection (Inspekcja Handlowa) under the rules of the Act of 23 September 2016 on the out-of-court resolution of consumer disputes (ustawa o pozasądowym rozwiązywaniu sporów konsumenckich), the permanent arbitration court attached to the provincial inspector of the Trade Inspection, and the free assistance of the district (municipal) consumer ombudsman or of a consumer organisation. Information: uokik.gov.pl. A consumer from another European Union country may turn to the European Consumer Centre (konsument.gov.pl).

§ 13. Availability and liability

  1. The Provider makes every effort to ensure that the Application works without interruption, reserving the possibility of technical breaks for updates and maintenance work.
  2. The Provider is not liable for a lack of access to the Application resulting from causes beyond its control: a lack of internet connection, the operation of the application stores, the device’s operating system or force majeure.
  3. The Provider’s liability towards a Pet Owner who is a consumer is governed by generally applicable law; no provision of these Terms limits the consumer’s rights arising from mandatory provisions of law.

§ 14. Application stores

  1. Downloading and updating the Application takes place through the App Store or Google Play and is subject to the terms of those stores.
  2. Apple Inc. and Google LLC are not parties to these Terms and are not liable for the Application or for handling complaints concerning it. All claims connected with the Application should be addressed to the Provider.

§ 15. Amendments to the Terms and final provisions

  1. The Provider may amend these Terms for important reasons: a change in the law, a change in the scope of the Application’s features, a change of service providers or reasons of security.
  2. The Provider gives notice of an amendment in the Application at least 14 days before it takes effect and, upon the first launch after that day, asks the user to read the new version and accept it. A Pet Owner who does not accept the changes may delete the Account; until then the existing version applies.
  3. Previous versions of these Terms remain available at https://veticloud.com in a way that allows them to be downloaded and reproduced.
  4. In matters not governed by these Terms, Polish law applies. The choice of law does not deprive a consumer of the protection afforded by the mandatory provisions of the law of their country of habitual residence.
  5. These Terms have been drawn up in Polish; translations are for information purposes only and, in the event of any discrepancy, the Polish version prevails.
  6. These Terms enter into force on 16 September 2026
