Online booking at a veterinary clinic — how to roll it out without wrecking the rota

The usual fear about online booking is simple: "someone will book a slot with no vet on duty." That risk does not come from booking itself, but from where the slots come from. Four rules that settle it.

Booking appointments by phone eats the single biggest slice of reception's day — and it does so at the worst possible moment, while an owner and a dog are standing at the desk. Online booking takes that traffic away, but only if the slots it shows are real.

Why online booking sometimes fails

Rollouts that end with the module switched off after a month look the same everywhere: the system builds slots from opening hours rather than from who is actually working. The result is bookings on shifts nobody covers, ultrasound visits with no free room, and fifteen-minute slots for procedures that take an hour. After a few of those, reception stops trusting the calendar and goes back to the phone.

Rule 1: slots come from the team rota

The only honest source of free slots is the work rota — holidays, sick leave and night duty included. If the rota lives in a spreadsheet next to the system, online booking will always be guessing. When it is part of the system, the calendar stops offering hours nobody will staff.

Rule 2: a free vet is not enough

An X-ray or ultrasound visit needs two things at once: a vet and a room with the right equipment. A calendar that checks only people will sooner or later collide two imaging visits in one room. Describe rooms by equipment category and require them exactly as you require a vet.

Rule 3: the visit type sets the slot length

A vaccination, a post-op check and a first geriatric consultation are three different lengths. One universal slot means either chronic delays or empty gaps. Leave a buffer for emergencies too — not to keep it empty, but so that one urgent patient does not push the whole afternoon.

Rule 4: confirmation and reminder are part of booking

A slot booked three weeks ahead stands little chance against an owner's daily life. A confirmation right after booking and a reminder the day before — by SMS or an app notification — turn part of your no-shows into cancellations, and a cancelled slot can still be given to somebody else.
