Which veterinary software to choose in 2026? 7 questions to ask before you decide

Changing your clinic software is a decision for years — data migration, team habits, documentation. Instead of comparing feature tables, ask vendors these 7 questions. The answers tell you more than any demo deck.

At first glance the veterinary software market looks the same everywhere: records, a calendar, an inventory. The differences that decide whether your team is grateful or frustrated a year later live elsewhere. These questions pull them out.

1. Cloud or an install on a computer?

Locally installed software means a server at the clinic, backups on your shoulders and updates someone has to run. A cloud system works in the browser — at reception, in the exam room and at home — always up to date. Also ask what happens when the internet drops and where the data physically lives.

2. What happens to my data if I want to leave?

Paradoxically, this is one of the most important questions on the way in. A vendor with no good answer about data export is planning to hold you hostage. An honest system lets you export your documentation.

3. Does the patient record travel with the animal?

Classic software locks data inside one clinic — yet patients move: house moves, emergencies, referrals. Ask whether a vet at another clinic, with the owner's consent, will see the treatment history — or hear "he got some small white pill". 4. Can it handle statutory documents?

Controlled-substance ledgers, vaccination registers, official reports — these are obligations, not options. Check whether they generate automatically from visit data or live "next to the system", in a notebook.

5. What does the pet owner get out of it?

Increasingly it is the client who forces the change: they want recommendations on their phone, dosing and vaccination reminders, online booking. Software with no owner app leaves those expectations to your reception — and its phone.

6. How is the price calculated?

A per-workstation licence punishes every additional computer. Ask what happens to the bill when you add a laptop in the second exam room — and whether features you do not use can simply stay switched off.

7. Is the system alive?

Ask for a changelog or the list of changes from the last three months. Software that gets no regular updates will look exactly the same in five years — against a completely different market.
